Provide administrative support and duties to the Financial Crime Compliance team maintaining the highest level of discretion and confidentiality. Responsible for the coordination & support of FCC initiatives and various administrative duties for the team and will work under the direct supervision of the Regional Head of Controls, Americas. May work independently on general assignments, with limited authority in implementing FCC projects or solutions Key Roles and Responsibilities Processes * Provide comprehensive and timely administrative support to Financial Crime Compliance team * Coordinate applicable FCC meetings and prepare agenda to circulate with meeting invitees in advance * Keep track of FCC group attendance to ensure proper coverage during absences * Maintain department register (i.e. sick days, vacation, mandatory learning, corporate travel, etc.) * Answer multiple phone lines, record messages and arrange and set up teleconference calls * Process all expense reports. Pull expenses together reconciling AMEX Statement and the cash receipts at month's end * Coordinate all corporate travel and guest arrangements with Carlson Wagonlit Travel (CWT), including air, hotel, taxi reservations, and meeting accommodations * Manage online DHL/UPS correspondence and package requests * Open, sort, and distribute correspondence in a timely manner * Develop and maintain constructive and cooperative working relationships * Raise / prepare RMS and IT incident tickets when required * New Team member on-boarding of IT equipment, corporate cards and desk set-up * Coordinate seating for FCC team, highlighting vacant seats for visiting team members and new staff * Improves quality results by studying, evaluating, and re-designing processes; implementing changes * Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations * Coordinate and order department supplies within budget * Manage projects and conduct research as needed Risk Management * Identify, assess, monitor, control and mitigate risks to the firm Governance * Awareness and understanding of the regulatory framework in which the firm operates, and the regulatory requirements and expectations relevant to the role * Deliver 'effective governance'; challenge fellow executives effectively; and work with any local regulators in an open and cooperative manner .
